The "swap" feature lets you easily replace an existing phone number (or multiple phone numbers) with a new phone number that matches not only the area code of the phone number you are swapping but also mimics the same setup as the phone number you are "swapping".
Why would I swap my number(s)?
Swapping numbers are best to be utilized when you are looking to release or remove an existing phone number from your account and you wish to have a new number set up in the exact same fashion as the number you are replacing. Using the swap feature significantly saves you time from purchasing a number, setting up the new number, and then releasing the old number.
When would I NOT swap my number(s)?
As a contact center customer, you might often have a large group of numbers that you utilize for caller ID mapping. Using the Swap option might seem like an ideal situation for replacing your caller ID mapping numbers, however, the swap will only attempt to replace your existing caller ID set and will NOT purchase new numbers in area codes that might've come available since your last phone number swap. For best results, we recommend manually purchasing a new caller ID set and then using the "settings" option within the same interface to complete the setup. This ensures you will always have the best area code coverage possible.
Step by Step Guide:
Step 1: Log into your Contact Center Account
Log into your Admin Contact Center system portal with your admin account. The login page can be accessed by clicking the button below.
Step 2: Navigate to the Ytel API Numbers Section
Navigate to the Ytel API section within the Admin portal. You must be a Super Admin in order to access this page. Click the button below to jump directly to the number section (you must already have logged into your account for the button to work).
Step 3: Select the number(s) you wish to swap
Select all the numbers you wish to swap. You can select a single number or multiple numbers.
Step 4: Press the "Swap" button
A "swap" button appears on the upper left side of your screen once one or more numbers have been selected. Pressing this button will bring up a window that will require some additional information.
Step 5: Fill in the requested information and press Swap
Fill out the required information and then press the "swap" button on the bottom right of the window.
Number Capability: A number can be only enabled to handle inbound voice traffic (inbound calls) or it may also be enabled to send and receive SMS. Selecting "ALL" will provide you with the best chance of replacing your number and is generally recommend IF you do not plan on sending or receiving inbound SMS to those numbers. Selecting "Voice" will only search phone numbers that are NOT SMS enabled. Selecting "SMS" will only search phone numbers that are SMS enabled.
Important Note: Numbers can be "Voice" enabled, but not "SMS" enabled. However, numbers that are "SMS" enabled will always be "Voice" enabled.
Once the appropriate Number capability is selected type in "swap" and press the swap button.
Step 6: Success or Failure
Once the swap has been completed, you will receive a notification window informing you of which numbers were successfully swapped and which ones were not swapped (see FAQ below for more details).
Within this window, you will also have the ability to "copy" all the successful numbers that were swapped and "copy" all the numbers that might have failed to swap. This can be useful for keeping tracking of the number numbers the system assigned as well as which numbers were not replaced.
Step 7: Done!
Why was my number(s) not swapped?
When swapping an existing phone number, the swap feature will attempt to purchase a new phone number in the exact same area code. There will be times when there currently are no more numbers available in that specific area code. When this happens, you will be notified within the interface that the swap was not successful.
What happens to the number I am swapping?
Swapping a phone number essentially replaces one phone number for another. This means the existing phone number which you selected to be swapped will be "released" or "removed" from your account. This means you will no longer "own" this number and any inbound calls will no longer be connected to your system. If you wish to keep the number, then do not swap the number. Instead, opt for purchasing a brand new phone number of your choosing.
